Order Terms

Review the quotation, drawing approval, payment, production, inspection, packaging, shipping, and claim terms for B2B custom door orders.

Order Terms

China Loong Door Co., Ltd supplies doors, gates, frames, and related accessories for international B2B projects and wholesale orders. Our product range includes entrance and interior doors, aluminum alloy doors, aluminum-wood doors, security and fire-resistant doors, glass doors, sliding and folding systems, courtyard gates, garage doors, rolling shutters, and custom non-standard doors. The following guide explains our standard order process. Specific commercial terms are subject to confirmation according to the product, quantity, customization requirements, destination, and shipping arrangement.

1. Inquiry and Product Selection

To help us prepare an accurate proposal, please provide as much information as possible with your inquiry. You may identify a product from our range or send drawings, schedules, photographs, reference samples, or project specifications.

Useful inquiry details include:

Technical performance requirements must be clearly stated before quotation and order confirmation. Where a project requires compliance with a particular standard, test method, document, or local building regulation, the buyer should provide the applicable requirements for review.

2. Customization and Quotation

China Loong Door Co., Ltd can review customized sizes, structures, finishes, hardware combinations, glass options, and packaging arrangements. Custom non-standard products are evaluated according to their technical feasibility and manufacturing requirements.

Our quotation is prepared based on the confirmed inquiry information. Pricing may vary according to dimensions, materials, construction, finish, hardware, glass, quantity, packing method, documentation needs, and delivery terms. Any freight estimate is based on the available shipment information and may require adjustment when the final packing volume, gross weight, destination, or carrier charges are confirmed.

A quotation will normally state the product description, unit price, quantity, applicable trade terms, estimated production schedule, quotation validity, payment arrangement, and other relevant conditions. Unless expressly included, installation, local taxes, customs duties, import clearance, destination handling, and site-related costs are not assumed to be part of the quoted product price.

Samples, color swatches, material samples, or prototype units may be discussed when necessary. Availability, cost, preparation time, and shipping charges are subject to confirmation according to the sample requirements.

3. Technical Review and Order Confirmation

Before an order enters production, both parties should confirm all relevant commercial and technical details. Depending on the product, we may prepare or review drawings, specification sheets, color references, hardware schedules, glass details, opening directions, accessory lists, labels, and packing instructions.

The buyer is responsible for checking the order documents carefully, including:

An order is considered confirmed after the applicable sales contract, proforma invoice, purchase order, drawings, or specification documents have been accepted and the agreed initial payment or other payment condition has been completed. The exact confirmation method will be stated in the order documents.

Verbal discussions and reference images are useful during development, but the final approved written specifications and drawings will be used as the production basis. If different documents contain inconsistent information, the discrepancy should be resolved in writing before production begins.

4. Payment Terms

Payment terms are determined according to the order value, product type, customization level, production requirements, and transaction arrangement. The payment method, currency, payment stages, bank information, and balance requirements will be specified in the quotation, proforma invoice, or sales contract.

Production scheduling generally begins after the agreed order documents and applicable payment have been received. Any bank charges or intermediary banking fees should be handled according to the confirmed commercial terms. Buyers should verify the beneficiary details shown on the official order documents before making payment.

If a request to change bank information is received, please confirm it with our authorized sales contact through a previously verified communication channel before transferring funds. China Loong Door Co., Ltd will not request payment to an unrelated personal account without formal written confirmation.

5. Order Changes and Cancellations

Please submit any requested change in writing as early as possible. Changes to dimensions, materials, colors, quantities, hardware, glass, design, packaging, or delivery information may affect the price and production schedule.

Once materials have been purchased or production has started, some changes may not be technically possible. Additional material, labor, tooling, rework, storage, or administrative costs may apply. Any revised specification, price, or schedule must be confirmed by both parties before the change is implemented.

Cancellation conditions depend on the order status and the level of customization. Costs already incurred for materials, customized components, samples, drawings, production, or other committed services will be reviewed according to the specific order circumstances.

6. Production and Quality Check

The production arrangement is based on the approved specifications and the confirmed order schedule. Estimated lead times depend on the product structure, quantity, material availability, finish, hardware, customization work, and current production conditions. The applicable schedule will be communicated for each order and should not be treated as fixed until the technical and commercial details are finalized.

During production, we may communicate with the buyer when clarification is required. For customized products, photographs, drawings, samples, or other confirmation materials may be provided at agreed stages when practical. Prompt buyer approval helps avoid unnecessary delays.

Products are checked against the confirmed order requirements before packing. The inspection scope may include dimensions, appearance, quantity, finish, operation, hardware configuration, accessories, and packaging, as applicable to the product. If the buyer requires third-party inspection, pre-shipment inspection, or a particular inspection procedure, this should be discussed and confirmed before the order is placed.

Minor variations may occur between digital images, physical color samples, natural wood grain, glass patterns, metal finishes, and completed products. Where color or appearance is critical, an agreed physical sample or clearly identified reference should be approved before production.

7. Packing and Delivery

Packing is selected according to the door type, finish, dimensions, weight, transport method, and destination. Depending on the order, products may be protected with film, foam, corner protection, cartons, reinforced supports, pallets, wooden cases, or other suitable export packing methods. Special packing, labeling, barcoding, or loading instructions should be provided before quotation or order confirmation.

Shipment may be arranged by sea, air, rail, road, courier, or another agreed method, depending on the quantity, dimensions, destination, urgency, and cost considerations. Delivery terms and responsibilities will be stated in the commercial documents. Freight charges, insurance, export documentation, import clearance, duties, taxes, and destination services are handled according to the confirmed trade terms.

The buyer should provide accurate consignee details, contact information, delivery address, tax or registration information where required, and any necessary import instructions. Delays or additional charges caused by incorrect information, customs procedures, inspection, port congestion, carrier schedules, weather, or other circumstances outside the seller’s reasonable control will be addressed based on the actual situation.

Shipping documents may include the commercial invoice, packing list, transport document, and other agreed documents. Any special documentation requirement should be disclosed before the order is confirmed because additional preparation time or charges may apply.

8. Receipt and Inspection

Upon delivery, the buyer should check the package count and inspect the external condition before signing the carrier’s receipt. Any visible shortage or transport damage should be recorded on the delivery document and photographed immediately. Where appropriate, the buyer should also notify the carrier according to the carrier’s claim procedure.

After unpacking, please verify the product model, dimensions, opening direction, color, hardware, accessories, and quantity against the confirmed order documents. Products should be stored in a dry, protected, and suitable location before installation. Improper handling, outdoor exposure, moisture, impact, or incorrect stacking may damage finished surfaces or affect product operation.

9. Installation and Site Conditions

Correct measurement and installation are essential for door performance. Unless installation service is specifically included in the confirmed order, the buyer is responsible for arranging qualified local installers and ensuring that the wall openings, supporting structures, power supply, drainage, and surrounding construction conditions are suitable for the products.

Installation should follow the approved drawings, instructions, and applicable local requirements. The installer should confirm that frames are level, plumb, square, and securely fixed before final adjustment. Moving parts, locks, hinges, tracks, rollers, seals, motors, and control components should be checked after installation.

If installation guidance is required, please contact us before work begins and provide clear site information. Alteration of the product without prior technical review may affect our ability to assess a later claim.

10. After-Sales Communication

China Loong Door Co., Ltd provides after-sales communication for order-related questions, installation clarification, accessory identification, and product issue assessment. If a problem occurs, please contact our sales or service team promptly and provide the order number, product model, quantity affected, a detailed description, and clear photographs or videos.

We will review the information against the confirmed specifications, inspection records, packing details, and shipping documents. The appropriate response may include technical guidance, adjustment instructions, replacement components, or another solution agreed according to the cause and circumstances of the issue.

Claims relating to shortages, incorrect products, visible damage, or specification differences should be reported as soon as reasonably possible after receipt. Products should not be discarded, modified, repaired, or returned without written authorization, as supporting evidence may be required to determine the cause and suitable resolution.

11. Ongoing Orders and Project Cooperation

For repeat orders, project phases, or product programs involving several door types, buyers are encouraged to maintain clear model codes, approved samples, drawings, color references, and hardware schedules. Previous order information can be used as a reference, but each new order must still be reviewed because material availability, specifications, quantities, prices, freight conditions, and project requirements may change.

Our team welcomes communication with importers, distributors, contractors, developers, designers, and procurement companies. Clear specifications, timely approvals, and complete shipping information help China Loong Door Co., Ltd process each order efficiently and support reliable long-term business cooperation.
